Job Summary: We are seeking an Accounts Payable / Assistant Bookkeeper to join our team. This role will work with the Director of Accounting to ensure that our vendors, team, and company benefit from an efficient and well-managed accounts payable and bookkeeping processes. This position is integral to improving accounting operations as the company grows, including implementing processes, procedures, and potentially transitioning to new accounting software. Our firm is remote but has occasional in-person meetings and events, so being located in the Austin/San Antonio metro areas is preferred.
Key Responsibilities:
- Manage and process vendor invoices, ensuring accuracy, proper coding, and timely payments in Bill4Time, our company billing software.
- Assist Director of Accounting with internal financial reports.
- Assist with employee benefits program administration and maintenance, including communications with benefits vendors and troubleshooting employee issues.
- Reconcile accounts payable records and resolve discrepancies in a timely manner.
- Code transactions in the accounting software/ERP.
- Develop and document accounts payable processes and procedures to enhance efficiency and accuracy.
- Assist in identifying accounting software needs and play a key role in transitioning to and implementing new systems.
- Maintain accurate and organized vendor files and payment records.
- Prepare and process weekly check runs, wire transfers, and ACH payments.
- Respond to vendor inquiries regarding payment status and resolve issues professionally.
- Assist in month-end and year-end closing processes, including reconciling AP and other subledgers to the general ledger.
- Monitor and track company credit card usage and reconcile credit card statements.
- Collaborate with internal teams to ensure proper documentation and approvals for invoices and expenses.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree in accounting, finance, or a related field preferred.
- Proven experience in accounts payable, bookkeeping, or a related accounting role.
- Proficiency in QuickBooks and Microsoft Office Suite, especially Excel.
- Strong analytical skills and exceptional attention to detail and accuracy.
- Excellent organizational and time-management skills to handle multiple priorities.
- Experience developing or refining accounting processes and procedures is highly desirable.
- Ability to work independently and thrive in a growing, fast-paced company.
- Strong communication and interpersonal skills.
