Overview
We are seeking a highly organized and detail-oriented Senior Care Administrative Specialist to join the CarePatrol of Winston-Salem (CPWS) team. This role is essential in providing comprehensive administrative support while also serving a critical role with client intake, communication (written and verbal) and education. The ideal candidate will possess strong office management skills, exceptional customer service abilities, experience in the senior care industry, and proficiency in various software applications. This position requires a proactive individual who can work independently in a remote work environment and who can manage multiple tasks efficiently while maintaining a high level of professionalism and productivity. This position requires 8am-5pm work hours Mon-Fri.
Responsibilities
- Answer and manage telephone calls to the main CPWS business line promptly and professionally. This position will answer the business line Mon-Fri 8am-5pm. Calls may include, but not limited to, potential client inquiries and referral calls from referral partners.
- Serve as the primary resource for clients who require Medicaid assistance. Provide education regarding the application process and facility listings.
- Manage the CarePatrol CRM system for all client documentation and communication as a CPWS team. Assist with the management and documentation of data related to client management/provider development/referral partner development.
- Research the full scope of resources available and applicable to the senior community and maintain the Discharge Planner Resource Guide.
- Partner with the CPWS team to develop content regarding email marketing campaigns, newsletters and social media posts. This role would manage and organize the systems used to create each form of outreach and communication.
- Collaborate with the CPWS team to ensure seamless service delivery to clients.
- Monitor and prioritize tasks to meet deadlines effectively.
Qualifications
- Experience as an executive assistant or an equivalent administrative assistant role with, ideally, experience working in a remote work environment. Possess the skill and ability to coordinate team workflows, communicate professionally and effectively with a team, and effectively use technology and systems to document and assimilate data.
- Experience within the senior care industry to include experience with the NC Special Assistance and Long Term Medicaid process.
- Ability to work full-time, remotely 5 days/week from 8a-5p.
- Highly competent with the management of Google Suite, Microsoft Excel, CarePatrol CRM system, Constant Contact email marketing, and social media platforms.
- Possess strong organizational skills with the desire and ability to work with a small team and contribute to the overall success by coordinating workflows, contributing ideas for efficiency, communicating effectively with leadership and team members, and most importantly desiring to serve the senior population.
- Must have the ability to work in a professional, remote location free of noise and distractions.
