We are seeking a detail-oriented and experienced Administrative and Operations Specialist / Office Coordinator to join our dynamic team. Key Responsibilities:
Order Management:
- Enter new signed quotes into Google Docs accurately and in a timely manner.
- Coordinate and send Purchase Orders to Vendors, managing delivery and tracking processes.
- Obtain freight quotes for new orders and handle logistics coordination.
- Request financing documents from lenders and follow up with customers for timely completion.
- Track and manage logistics information for all orders, ensuring smooth processing.
- Maintain and update Google Spreadsheets for all orders, including invoicing and freight details.
- Process invoices against Purchase Orders, including adding freight costs.
- Manage bills and ensure timely payments.
- Handle any Return Merchandise Authorizations (RMA) from vendors.
- Process online orders, confirm payments via Shopify, update QuickBooks with new customer receipts, and manage order fulfillment.
Coordination and Communication:
- Coordinate all aspects of shipping, including freight, documentation, tracking, and customer updates.
- Perform monthly sales tax filing and reporting for the state.
- Keep the Google order document updated, entering every signed quote, and updating information daily.
- Submit finance applications to lenders and provide customers with approvals or denials.
- Manage Patient Image accounts and handle monthly billing.
Qualifications:
- Detail-oriented with strong organizational skills.
- QuickBooks expert with a solid understanding of financial processes.
- Proven experience in order management, logistics coordination, and office administration.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong communication skills, both written and verbal.
- Proficient in Google Docs and Spreadsheets.
- Ability to work independently and collaboratively within a team.
