OVERVIEW
The Regional Administrative Assistant facilitates the efficient operation of the Post Release and Home Study Programs by supporting the Director and/or Supervisors by performing a variety of clerical and administrative tasks.
ESSENTIONAL DUTIES AND RESPONSIBILTIES
- Assist with administrative task of onboarding, new employee orientation, and updating training records.
- Maintain a virtual filing system for program (as needed).
- Assist in scheduling and sending meeting invites to staff and potential employees.
- Assist in the development and dissemination of presentations (PowerPoint, Canva, etc..).
- Create meeting agendas and take meeting minutes.
- Ensures action items are identified during meetings and shared with the Team for timely execution.
- Maintain a calendar of events for relevant program staff.
- Maintain a PTO calendar for use by supervisory staff.
- Coordinate travel schedules for Director or Supervisors as needed.
- Coordinate conference meeting logistics for any in-person meetings.
- Coordinate with logistics and procurement staff ordering supplies for program staff.
- Assist with coordinating and gathering of information for reporting purposes.
- Always maintain confidentiality of sensitive information.
QUALIFICATIONS
- High School Diploma required with 2 years of administrative assistant or office management experience, or
- Associate degree with 1 year of proven experience in a busy office environment.
- Excellent interpersonal and customer service skills.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Excellent typing skills.
- Ability to work independently.
- Strong leadership, organizational skills, and the ability to manage multiple tasks and projects effectively.
- Excellent communication and interpersonal skills.
- Good telephone etiquette.
- Proficient in Microsoft Office Suite, especially Excel a plus.
- Must be comfortable with using technology (OneDrive, Teams) and database management.
- Ability to adapt to changing priorities.
- Ability for occasional travel and work a flexible schedule (as needed).
- Ensure compliance with a drug free, smoke-free, and alcohol-free workplace.

- Ability to act with integrity and professionalism.

- Valid driver's license and insurance.
Training Requirements:
- Satisfactory completion of Applied Intellect’s employee orientation and training.
- Comply with all Office of Refugee Resettlement (ORR) trainings.
- Complete additional training as identified by supervisor or human resources.
PHYSICAL DEMANDS
- Use manual dexterity, tactile, visual, and audio acuity.
- Use of repetitive motion, prolonged periods of sitting and standing, and sustained visual and mental applications and demands.
- Occasional lifting (up to 25 pounds), bending, pulling, and carrying.
- Quantitative/mathematical ability (addition, subtraction, multiplication, division, standard measurements).
