Duties and Responsibilities:
1. Patient Check-In and Check-Out: Greeting patients, verifying their appointments, and checking them in or out of the clinic.
2. Appointment Scheduling: Managing appointment schedules, rescheduling as needed, and ensuring efficient use of therapists' time.
3. Insurance Verification: Verifying patients' insurance coverage and collecting co-pays or fees as required.
4. Patient Registration: Accurately recording patient information, including personal details and medical history, into electronic health records (EHR) systems.
5. Phone and Email Communication: Handling phone calls and emails, addressing inquiries, scheduling appointments, and providing information about the clinic's services.
6. Patient Intake Forms: Distributing and collecting necessary forms and paperwork from patients, ensuring completeness and accuracy.
7. Billing and Payment Processing: Assisting with billing processes, preparing invoices, and processing payments.
8. Medical Records Management: Maintaining and organizing patient records, ensuring compliance with privacy regulations like HIPAA.
9. Coordinating with Therapists: Communicating patient information and scheduling changes to therapists as needed.
10. Patient Education: Providing basic information to patients about their therapy plans, exercises, and clinic policies.
11. Office Organization: Keeping the front desk area organized, managing supplies, and ensuring a welcoming and clean environment for patients.
12. Problem Solving: Addressing patient concerns, resolving scheduling conflicts, and escalating issues to management when necessary.
13. Team Collaboration: Collaborating with therapists and other front desk staff to ensure smooth clinic operations.
14. Safety and Security: Following security protocols and ensuring the safety of patients and staff.
15. HIPAA Compliance: Adhering to strict patient privacy and confidentiality standards as mandated by HIPAA.
16. Provide excellent customer service to patients and address any inquiries or concerns
Skills:
- Excellent communication skills, both verbal and written
- Proficient in using phone systems and handling multiple phone lines
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize tasks in a fast-paced environment
- Knowledge of medical terminology and procedures is a plus
- Familiarity with electronic health record systems and computer skills
