Compensation: $125,000 with 8% annual bonus for the right person.
Availability: Remote – Washington State ideal (Pacific Time Zone preferred)
The Executive Assistant will serve as a trusted partner to the CEO and will be an integral part of the CEO office, effectively operating as an extension of the CEO. They will be responsible for overseeing all travel arrangements, full calendar management, coordinating, preparing decks for and participating in all executive leadership team (ELT) meetings, managing strategic initiative reporting, and facilitating transparent, seamless communication across the ELT.
This role demands exceptional attention to detail, a systematic approach, collaboration, project management, discretion, sound judgment, and a strong understanding of the organization’s priorities. In short, the role demands a planful approach to operating at high pace with high quality in a dynamic, global organization. Importantly, the Executive Assistant will act as a culture ambassador, embodying the company’s values and positively representing the Office of the CEO to promote alignment and engagement throughout the organization.
Essential Duties
- Manage the CEO’s calendar in its entirety, including scheduling all meetings and appointments.
- Prepare and edit communications, reports, and presentations.
- Plan, prepare agendas and presentations for, and participate in all ELT meetings and off-sites.
- Handle confidential information with discretion and professionalism.
- Serve as the primary point of contact for the CEO, screening calls, emails, and meeting requests.
- Draft, proofread, and send communications on behalf of the CEO.
- Maintain productive and positive relationships with internal and external stakeholders.
- Autonomously track and follow up on action items and deliverables from meetings.
- Assist in tracking and monitoring the progress of strategic initiatives and projects.
- Arrange complex travel itineraries and accommodations.
- Anticipate the needs of the CEO and proactively address them.
Desired Qualifications and Profile
- Education: Bachelor’s degree.
- Relevant Job Experience: At least 5 years of experience as an Executive Assistant supporting private equity-backed company CEO, Managing Director at private equity- backed company, or public company executive.
- Technical Skills: Proficiency with Microsoft Office Suite and project management software.
- Systematic: A proven, systematic approach and ability to handle multiple tasks in a fast-paced environment. Exceptional project management, organizational and time management skills.
- Effective Two-Way Communication: Strong listening skills complemented by strong written and verbal communication skills. Values diverse viewpoints.
- Integrity: Acts with integrity, displaying ethical character in all actions. Takes accountability for one's own behavior and aligns actions with the company's values and principles. High level of discretion and confidentiality.
