Executive Assistant
Introduction
The Global Fund for a New Economy seeks an Executive Assistant to provide exceptional administrative support to our two Co-Presidents and the leadership team, assisting with their calendars, correspondence, contact and database organization, meeting and speaking engagement preparation and debriefing, and travel and event logistics support, among other functions that underpin the Global Fund for a New Economy’s effective and efficient day-to-day operations. About The Role
The Executive Assistant will be required to be comfortable working across multiple time zones and cultural contexts to set up and prioritize meetings, events, and requests as required to meet the needs of the Co-Presidents and members of the leadership team daily.
Responsibilities
- Manage the calendar and correspondence of the two Co-Presidents, including scheduling and prioritization
- Take actions and minutes at key leadership and team meetings, keeping our actions log up to date with the team
- Ensure that the Co-Presidents are fully prepared for all meetings and speaking engagements, with agendas, bios, talking points, presentations, and background reading
- Coordinate travel for the Co-Presidents, including booking travel and lodging, creating detailed itineraries, and assisting with the acquisition of visas and other travel documents
- Ensure that all expense reimbursements and receipts are submitted accurately and on time
- Organize and manage systems for incoming requests for document review and approval
- Provide event support including coordinating invitations and RSVPs, drafting and sending emails, on-site coordination, and other tasks as necessary
- Prepare memos, talking points, powerpoints, and other documents as necessary to brief the Co-Presidents
- Assist with the organization, entry, and maintenance of contacts and other data relevant to the work of the C0-Presidents and the organization
- Conduct background research, as needed, and succinctly summarize findings on a timely basis
- Provide support for the recruitment and management of the organization’s board of directors
- Provide other operational and administrative support to the team as required
Person Specifications
- Highly organized, with a track record of strong decision-making and completing short-and long-term responsibilities in a fast-paced, deadline-driven, high-volume organization with discretion
- Exceptional project manager; track record of designing and implementing effective and efficient systems and processes that deliver excellent results
- Motivated by providing exceptional service; anticipates needs, takes initiative, resourceful, problem-solver
- Able to problem solve proactively and independently including in an international context
- Fluent in spoken and written English with multiple languages spoken preferred
- Candidates with significant experience working in the Global South are highly desirable
- Proficient in G-Suite, standard Microsoft programs, and a familiarity and experience with the systems and software that enable remote work
- 5 - 7 years of experience in a similar role
- Interest and affinity with the new economy field would be preferred
- Ability to work in Pacific Standard Time
Compensation and terms & conditions
Location: Remote, but travel may be required expected to meet with colleagues from the Fund and perform other job duties
Working hours: Full-time. Some flexibility will be necessary to ensure effective working with a global team.
Compensation for this role will be competitive relative to the market in which candidates are based. The Fund is currently determining benefits packages. The details of these will be discussed with candidates in due course.
