Operations Support Specialist /Executive Assistant
Contract Duration: Until 01/31/2027 (with a high possibility of extension)
Location: Fully remote (candidates must be based in Michigan); quarterly in-person meetings in Jackson, Lansing, and Grand Rapids
Position Overview:
We are seeking a detail-oriented and proactive Operations Support Specialist to provide critical administrative support to our Residential and Commercial Departments. This role will focus on streamlining operations through effective communication, calendar management, and correspondence handling. The ideal candidate will be skilled in multitasking, demonstrate exceptional organizational abilities, and have a strong customer service orientation. SAP experience is required for the Commercial Department roles, and PowerClerk experience is a plus, though training will be provided.
Key Responsibilities:
- Provide high-level administrative support to both the Residential and Commercial Departments, including managing calendars, scheduling meetings, and assisting with departmental coordination.
- Review and process incoming applications and emails, ensuring timely and accurate responses to customer inquiries.
- Manage and respond to calls, offering information and education as required to assist customers and internal teams.
- Oversee monitoring and correspondence for the PO box, ensuring all communication is handled promptly.
- Support the team with various administrative tasks, ensuring smooth departmental operations.
Required Skills and Qualifications:
- Strong customer communication skills, with the ability to handle inquiries via phone and email in a professional and efficient manner.
- Demonstrated experience in performing administrative tasks, managing schedules, and handling sensitive data.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills, with attention to detail in all correspondence.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- SAP experience is required for the Commercial Department roles (not applicable to the Residential Department).
- Prior administrative experience is preferred; familiarity with the electric vehicle (EV) sector is beneficial but not mandatory.
- Experience with PowerClerk is advantageous, though training will be provided.
Experience:
- Minimum of 2 years of experience in an administrative or operations support role.
- Candidates with a broad range of administrative experience will be considered, regardless of industry background.
Additional Considerations:
- This role is ideal for candidates with strong organizational and communication skills who are adept at managing multiple tasks simultaneously.
- While prior experience in the electric vehicle (EV) sector is not required, candidates with relevant knowledge will be given preference.
