The Executive Assistant provides direct administrative and executive support to the Global Director of Gift Planning as well as the Director of Gift Planning Fundraising. They provide support for Gift Planning departmental events and retreat as well as work in partnership with the Manager of Executive Support. They provide administrative support to the Director of Gift Administration . They provide back-up support for the division toll-free line.

The Executive Assistant is responsible for a variety of administrative and executive support tasks, which may include domestic and international travel arrangements, calendar management for individuals and groups, drafting correspondence and contracts with external consulting firms, processing expenses and invoices, and scheduling and coordinating logistics of meetings, all staff calls, retreats, and special events. They use available systems and resources to maintain, track and research data, and produce and review reports. They implement processes and practices to improve effectiveness. The Assistant coordinates activities with multiple variables, setting realistic deadlines and managing the timeline. They apply established processes and practices to improve effectiveness and satisfy administrative requirements based on knowledge of policies and procedures. When necessary, the Assistant communicates on behalf of the Global Director of Gift Planning, the Director of Gift Planning Fundraising and the Director of Gift Administration with staff in various programs across the Conservancy, also with donors, vendors, and business relations. They work closely with other staff, distributing information, sharing knowledge, and providing insights to assist staff in making decisions, solving problems, and improving workflow. They perform additional administrative support for individuals, programs and manage short-term projects as required.

What You’ll Bring:

Bachelor’s degree and 2 years’ experience or equivalent combination;
Experience generating reports and interpreting data;
Experience in business writing, editing, and proofreading;
Experience organizing time and managing diverse activities to meet deadlines; and
Experience working across teams and communicating with a wide range of people

Salary Information:

The starting pay range for a candidate selected for this position is generally within the range of $57,750 - $84,050. This range only applies to candidates whose country of employment is the USA. Where a successful candidate’s actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
