Role Summary

The Executive Assistant provides high-level administrative support to the CEO and C-Suite, ensuring smooth daily operations and enabling leadership to focus on strategic priorities. This role requires exceptional organizational skills, discretion, and the ability to manage multiple tasks in a fast-paced environment.

Administrative Support

Manage complex calendars and schedule meetings across multiple time zones.
Coordinate detailed domestic and international travel arrangements, including flights, lodging, ground transportation, and itineraries, ensuring all logistics run smoothly.
Screen and prioritize incoming communications (email, phone, mail), responding or redirecting as appropriate.
Prepare and edit correspondence, reports, presentations, and other documents.
Maintain filing systems (digital and physical) and ensure records are organized and up to date.

Meeting & Event Coordination

Plan, schedule, and facilitate internal and external meetings, ensuring logistics, materials, and follow-ups are well-managed.
Coordinate and support Board of Directors meetings, including scheduling, preparing and distributing materials, managing logistics, and tracking action items.
Prepare meeting agendas, materials, and briefings for the executive.
Attend select meetings, take notes, and track action items.
Coordinate company events, board meetings, and off-site gatherings.

Project & Task Management

Assist in the planning, execution, and monitoring of special projects.
Track key deadlines and ensure timely completion of deliverables.
Liaise with internal teams and external partners to ensure smooth collaboration.

Confidentiality & Professionalism

Handle sensitive information with the highest level of integrity and discretion.
Represent the executive's office with professionalism in all interactions.

Education, Licenses, Certifications

5+ years of experience supporting senior executives or C-level leaders.
Strong proficiency in Microsoft Office Suite and/or Google Workspace.
Excellent written and verbal communication skills.
Proven ability to manage multiple priorities with accuracy and attention to detail.
High level of discretion and emotional intelligence.
Experience in the fertility industry preferred
Project management experience or certification preferred
Familiarity with CRM tools, project management platforms, and virtual collaboration tools (e.g., Asana, Slack, Zoom) preferred

Employment Type

This is a full-time exempt remote position which may be required to work both EST and PST hours.

Compensation

The salary range for this role is $62,400 – $124,800 annually. Salary is based on several factors including job related knowledge and skill set, depth of experience, certifications and/or degrees.
