Responsibilities

Manage daily office operations and maintain a well-organized work environment.
Answer phone calls, respond to emails, and communicate effectively with families, clinicians, and staff.
Schedule appointments, therapy sessions, and team meetings, coordinating calendars to optimize workflow.
Maintain and update client records, ensuring confidentiality and compliance with HIPAA regulations.
Assist with billing, insurance verification, and documentation required for service provision and reimbursement.
Support the collection and organization of data related to therapy services for progress tracking.
Coordinate training sessions and in-services for staff, ensuring logistical arrangements and materials are prepared.

Requirements

High school diploma or equivalent; Associate’s degree or higher preferred.
Proven experience in administrative roles, preferably within healthcare or mental health settings.
Strong organizational skills with exceptional attention to detail.
Excellent verbal and written communication skills.
Proficiency with office software including Microsoft Office Suite and electronic health record systems.
Ability to maintain confidentiality and adhere to privacy regulations such as HIPAA.
Capable of multitasking and managing priorities in a fast-paced environment with a compassionate and patient approach.
