Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a dynamic and fast-paced environment. The ideal candidate will possess exceptional clerical and organizational skills, with a keen ability to manage multiple tasks efficiently. This role requires a strong understanding of office operations, excellent communication skills, and the ability to maintain confidentiality while managing sensitive information.

Duties

Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements using Outlook Calendar.
Coordinate projects and assist with various administrative tasks to ensure smooth operations within the executive office.
Handle incoming communications, including phone calls and emails, demonstrating excellent phone etiquette and professionalism.
Prepare and proofread documents, reports, and presentations to ensure accuracy and clarity.
Maintain organized filing systems for both physical and digital documents.
Utilize QuickBooks for basic financial tracking and reporting as needed.
Support the CEO in preparing for meetings by gathering necessary materials and creating agendas.
Collaborate with other departments to facilitate communication and project coordination across the organization.
Assist in managing special projects as directed by the CEO.

Experience

Proven experience as an Executive Assistant or similar role in a corporate setting is a must.
Proficiency in Google Suite applications (Docs, Sheets, Drive) is essential.
Strong clerical skills with attention to detail and accuracy in all tasks performed.
Excellent organizational skills with the ability to prioritize effectively in a busy environment.
Familiarity with phone systems and time management tools especially AI is required.
Experience with project coordination is a plus, demonstrating the ability to manage timelines and deliverables effectively.

Pay: $15.00 - $30.00 per hour
