Job Summary
We are seeking a detail-oriented and highly organized Administrative Assistant to support our team in a fast-paced environment. The ideal candidate will possess strong clerical skills and have experience in various administrative functions. This role is essential for ensuring smooth operations within the office, providing excellent customer service, and maintaining effective communication across departments.

Duties

Manage daily office operations and provide administrative support to staff.
Answer phone calls and respond to inquiries with professionalism and courtesy, demonstrating excellent phone etiquette.
Schedule appointments and coordinate meetings, ensuring all necessary materials are prepared in advance.
Maintain organized filing systems for both physical and digital documents.
Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
Proofread documents for accuracy and clarity before distribution.
Utilize Google Suite applications for document creation, data management, and communication.
Provide clerical support including typing correspondence, reports, and other documents as needed.
Serve as a dental or medical receptionist when required, managing patient interactions with care and efficiency.

Skills

Proven experience as an Administrative Assistant or in a similar role, preferably in a medical or dental setting.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Proficiency in using phone systems effectively for communication purposes.
Excellent typing skills with attention to detail for accurate documentation.
Familiarity with QuickBooks for basic accounting tasks is a plus.
Strong proofreading abilities to ensure high-quality written communications.
Proficient in Google Suite applications (Docs, Sheets, Drive) for efficient workflow management.
Ability to work independently as well as part of a team in a collaborative environment.
