What you’ll do

Manage executive calendars with precision, scheduling meetings and appointments while prioritizing tasks effectively.
Coordinate and plan events, ensuring every detail is executed flawlessly from inception to completion.
Provide top-notch executive administrative support, including typing correspondence, proofreading documents, and transcription services.
Handle bookkeeping tasks using QuickBooks and maintain accurate financial records for seamless office management.
Serve as the first point of contact for visitors and clients, demonstrating excellent phone etiquette and customer service skills.
Oversee project coordination activities, ensuring timelines are met and resources are allocated efficiently.
Maintain organized filing systems and perform data entry tasks to keep information accessible and up-to-date.
Utilize Microsoft Office Suite, Google Workspace, DocuSign, and multi-line phone systems to enhance productivity across the board.

Basic qualifications

Proven experience in an administrative role with a focus on executive support or personal assistance.
Strong organizational skills with a keen eye for detail in both clerical tasks and event planning.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace tools.

Preferred qualifications

Familiarity with QuickBooks for bookkeeping purposes.
Experience with calendar management using Microsoft Outlook Calendar or similar platforms.
Background in customer service or front desk operations that showcases your ability to engage positively with clients.
