Job Overview
We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily office operations, providing exceptional customer service, and ensuring efficient administrative processes. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks effectively.

Duties

Arrange the pickup and delivery of drums and totes of vegetable oils through a freight carrier from our suppliers to our warehouse. Create packing slips, BOL's, labels and stock releases.
Use Quickbooks for basic bookkeeping, financial record management, invoicing, accounts payable and sending purchase orders.
Maintain organized filing systems for C of A's, Regulatory Documents, SDS's and perform data entry tasks accurately. Upload documents on our CRM platform.
Order samples and create logs
Assist in calendar management, scheduling appointments, and coordinating meetings.
Provide clerical support including typing, proofreading documents, and preparing reports.
Handle correspondence via email and phone with excellent phone etiquette.
Support office management tasks including inventory control and supply ordering.
Collaborate with team members to ensure smooth office operations and workflow.

Qualifications

Proven experience in an administrative role with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Experience working with QuickBooks (Setup customers, vendors, create invoices, pay invoices, send purchase orders and estimates, create open bills reports, and financial reports
Excellent typing skills with attention to detail for accurate data entry and proofreading.
Strong customer service skills with the ability to handle inquiries professionally.
Previous experience as a personal assistant is beneficial for managing executive tasks.

Job Type: Full-time

Pay: $22.54 - $28.20 per hour
