Executive Assistant

IONIC DIGITAL, a bitcoin mining operator, is seeking an experienced Executive Assistant

to provide high-level administrative, organizational, and strategic support to the CEO

while also supporting the broader Senior Management Team. This role requires

exceptional discretion, judgment, and the ability to manage multiple priorities in a fast-

paced, executive-level environment. The Executive Assistant serves as a trusted partner,

helping ensure the effective operation of executive leadership and enabling leaders to

focus on strategic priorities.

Key Responsibilities

Executive Support

Provide direct administrative support to the CEO and Senior Management Team,

including calendar management, meeting coordination, travel arrangements, and

expense reporting

Act as a gatekeeper and liaison between executives and internal/external stakeholders

Calendar & Meeting Management

Manage complex, multi-executive calendars and prioritize scheduling needs

Prepare agendas, presentations, briefing materials, and meeting packets

Capture meeting notes, action items, and follow-ups as needed

Communication & Coordination

Draft and manage executive-level communications

Coordinate cross-functional meetings and leadership initiatives

Track deadlines, deliverables, and follow-ups on behalf of leadership

Handle sensitive and confidential information with the highest level of discretion

Administrative Excellence

Maintain organized records, files, and documentation

Process expenses, invoices, and administrative approvals

Improve administrative systems and workflows to enhance efficiency

Skills and Abilities

Must be flexible, have high energy, be able to work independently and manage

multiple tasks with competing priorities where short deadlines are the norm

Ability to manage ambiguity and self-start within a lean team

Integrity; honesty, trustworthy and ability to maintain confidentiality

Demonstrated professional verbal and written communication skills

Highest standards of accuracy and precision, highly organized

Ability to think creatively, highly driven and self-motivated

Required Qualifications and Experience

5+ years of experience supporting senior executives, including a CEO or C-suite

leader, preferably in a fast-paced or high-growth environment

Exceptional organizational, time-management, and multitasking skills

Proficiency with common productivity tools (e.g., Google Workspace, Microsoft

Office, Slack, Zoom)

Ability to work independently in a remote setting, managing multiple priorities in

a high-growth company.

Preferred

Experience supporting multiple executives simultaneously

Experience coordinating board meetings or executive-level presentations

Bachelor’s degree or equivalent experience
