Overview
The Executive Assistant will provide high-level administrative support to our executive team while maintaining accurate bookkeeping records. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate is a proactive problem solver with exceptional communication skills and a strong ability to prioritize in a dynamic environment.

Responsibilities

Provide high-level administrative support to executives, including managing schedules, coordinating meetings, and preparing necessary materials.
Manage accounts payable and receivable.
Maintain financial records and process financial transactions accurately
Utilize accounting software, including Bill.com and Netsuite, to manage financial data and generate reports.
Assist with special projects and research as needed.
Maintain confidentiality and handle sensitive information with discretion.

Skills

Required:

Proven experience as an executive assistant or in a similar administrative role.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
Ability to work independently and prioritize tasks effectively.
High level of professionalism and discretion.
Availability to work 35-40 hours per week on a regular schedule.

Preferred:

Experience in the financial services industry.
Familiarity with accounting systems such as Netsuite and Bill.com.
Experience supporting multiple executives in a fast-paced environment.
